4. Do you offer interfaces (CSV/Datanorm) for my trade software?
We currently do not offer export files (CSV) for our product data. However, upon request, we can provide you with various data regarding our products. Please feel free to contact us about this.
5. How can I find out if a module is compatible with a specific inverter?
You can check compatibility using the technical data sheets (voltage, current, MPP range) for the module and inverter. In addition, many manufacturers provide compatibility lists.
6. What happens if an ordered item is discontinued by the manufacturer (EOL)?
If an item reaches “end of life” during an ongoing project, we cannot guarantee that you will be able to obtain the same item again. We will only offer you technically equivalent alternatives.
7. Are there minimum order quantities or special project-based terms?
There are generally no minimum order quantities for standard products. For larger projects or pallet-sized orders, we’re happy to review individual project pricing.
8. How quickly can I expect delivery if the merchandise is in stock?
Items in stock are usually ready for shipment at short notice. After receipt of payment, shipment typically takes place within 24–48 hours, depending on the product and shipping time.
Shipping & Project Logistics
1. Is direct delivery to the construction site (dropshipping) possible?
Yes, we deliver directly to your end customer’s address. Please specify the alternate shipping address as “construction site delivery” during checkout. For larger orders, please ensure that the site is accessible to trucks (up to 40 metric tons).
2. Do you offer neutral shipping to my end customer?
Currently, we do not offer a neutral delivery slip; ACTEC will appear as the sender to your end customer.
3. How are deliveries notified?
Shipments via freight carriers are generally announced by phone. When placing your order, please be sure to provide a mobile phone number—ideally that of the site manager or on-site installer—to avoid demurrage charges or wasted trips.
4. Are the trucks equipped with a lift and a pallet jack?
By default, delivery is “curbside.” This applies to deliveries to residential addresses or construction sites. For deliveries consisting solely of palletized modules, the customer must provide unloading equipment (forklift/wheel loader) on-site, unless otherwise agreed.
5. Can I split orders (partial deliveries)?
No, unfortunately that is not possible. You must place two separate orders.
6. How are long items and modules packaged?
We ship solar panels lying flat on special single-use or reusable pallets, professionally strapped and wrapped in plastic film. Mounting rails (long items) are packed separately.
7. What requirements must be met for on-site delivery?
The delivery address must be accessible by truck. Typically, unloading equipment (e.g., a forklift) is required. Please notify us in advance of any exceptions.
We ship modules upright on special single-use or reusable pallets, professionally strapped and wrapped in plastic film. Mounting rails (long items) are packed separately. Please check the packaging for damage immediately upon delivery.
8. How are shipping damages or missing items handled?
Damage during transit or discrepancies must be noted immediately upon delivery and reported promptly. We will then handle the matter with the shipping carrier.
Complaints, Warranty & Guarantee (B2B)
1. What are my obligations upon receipt of goods (duty to inspect)?
As a commercial customer, you are obligated under § 377 of the German Commercial Code (HGB) to inspect the goods for completeness and shipping damage immediately upon receipt. Any externally visible damage must be noted immediately on the driver’s waybill. Later complaints regarding shipping damage often cannot be accepted without this notation.
2. How do I report a warranty claim (technical defect)?
For technical defects (e.g., inverter malfunction), please use our form in the dealer area. In many cases, handling the issue directly through the manufacturer’s service department is faster, as they can access the system via remote maintenance and ship replacement units directly. We’re happy to assist you with the necessary contact information.
3. How does the replacement of defective modules work?
Report the damage by providing a photo of the nameplate, a description of the fault, and measurement results (string voltage, etc.). Once approved by the manufacturer, you will receive a replacement. Please store the defective module until a final decision on the resolution is made, as manufacturers often arrange for the module to be returned for analysis.
4. Does ACTEC cover replacement costs (disassembly and reassembly)?
As a wholesaler, we are liable under the statutory warranty for the freedom from defects of the goods. Costs exceeding the mere replacement delivery (e.g., labor, aerial lifts) are generally covered by the manufacturer’s warranty flat rates, provided the manufacturer stipulates this in its warranty terms. We will assist you in submitting these claims.
5. Can I return goods that I ordered in excess?
Since the right of withdrawal for consumers does not apply in B2B-transactions, returns of defect-free goods are only possible as a gesture of goodwill.
6. What should I do if I receive the wrong items?
If you have received the wrong item, please report this in writing within 48 hours, specifying the delivery note number. We will immediately arrange for a prompt replacement delivery of the correct goods (subject to availability) and/or the pickup of the incorrect delivery.
7. What are the time limits for complaints and warranty claims?
Obvious defects must be reported immediately upon receipt of the goods. Hidden defects must be reported as soon as they are discovered. Warranty periods are based on the manufacturer’s specifications.
8. What documentation is required for a complaint?
We generally require the invoice number, serial numbers, a description of the defect, and clear photos.
Payment, Invoices & Taxes
1. What payment methods are available?
By default, we offer payment in advance via bank transfer. For verified existing customers and partner companies, purchase on account (with payment terms) is also available following a successful credit check.
2. How do I receive my invoice?
To help protect the environment, we send our invoices electronically via email to the billing address on file in your customer account. You can also request copies of all invoices at any time.
3. Can I include my own reference on the invoice?
Currently, we do not offer the option to add your reference number or a comment to your order.
4. Shipping to other EU countries: Is shipping tax-free?
Yes, provided you have a valid VAT identification number (VAT ID) and a shipping address in another EU country, the shipment is considered a tax-exempt intra-Community supply. The validity of the VAT ID is automatically verified during registration.
5. Shipping to Switzerland (third country): What do I need to keep in mind?
For deliveries to Switzerland, we issue the invoice net (excluding German VAT). Please note that Swiss customs duties and Swiss import VAT apply upon import and are the responsibility of the recipient.
6. When is the credit limit on my customer account adjusted?
Your credit limit is determined based on your past payment history and external credit reports. If you need an increase in your limit for a larger project, please contact our accounting department or your sales representative well in advance of placing the order.
7. Can I combine multiple orders onto a single consolidated invoice?
No, for accounting and tax reasons, each order is billed separately.
8. What happens in the event of late payment or unpaid invoices?
In the event of late payment, we reserve the right to suspend further deliveries, charge late fees, and adjust the credit limit. Our B2B-terms of payment apply.
Terminology, Useful Information
1. What is the difference between kWh and kWp?
While kWh (= kilowatt-hour) is the unit of measurement for work—that is, power multiplied by time—kWp represents the module’s rated power in kilowatt-peak. These values are determined under Standard Test Conditions (STC). The annual ratio of kWh to kWp is referred to as the specific system yield.
2. What is AC/DC?
The abbreviation “AC” is used internationally to stand for “alternating current.” In contrast, “DC” stands for “direct current.”
3. What is the MPP?
MPP is the abbreviation for Maximum Power Point. It describes the point of maximum power output for a solar panel, where the product of current and voltage is at its highest. This point is not constant but depends on irradiance, temperature, and the type of solar cell.
4. What is off-grid/on-grid?
An off-grid system is a stand-alone system that forms a closed loop without drawing power from or performing grid feed-in. An on-grid system, on the other hand, is a PV system with a power-generating solar generator that is connected to the public grid.
5. What is a load profile?
Load profiles describe the distribution of the average annual electricity load at specific times of day for weekdays, Saturdays, and Sundays.
6. What is load management?
The term “load management” encompasses all (technical) measures aimed at consuming electricity at the very moment it is being produced by the PV system. This allows you to further increase your self-consumption rate. This can be achieved through the use of smart load management devices or by automatically scheduling the operation of appliances (e.g., using timers).
7. What is a smart grid?
Smart grids are intelligent power grids that combine generation, storage, and consumption. Through centralized control, all components are optimally coordinated, while power fluctuations—particularly those caused by fluctuating renewable energy sources—are balanced out in the grid. This interconnection is achieved through the use of information and communication technologies (ICT) as well as decentralized energy management systems to coordinate the individual components.
